How to Write a Professional Invoice (With Template)


A professional invoice does more than request payment — it sets expectations, protects you legally, and signals that you run a real business. Sloppy invoices get questioned, delayed, or ignored. Clean ones get paid.

Here’s exactly what goes into an invoice that gets results.

The Core Elements of Every Invoice

1. Your Business Information

At the top of the invoice, include:

  • Your full name or business name
  • Your address (or just city/state if you prefer)
  • Your email address
  • Your phone number (optional but helpful for questions)
  • Your website (optional)

This makes it clear who the invoice is from and how to reach you with questions.

2. Client Information

Include the client’s:

  • Company name and contact name
  • Billing address
  • Email address

Make sure you’re billing the right person. For larger companies, the person you work with and the accounts payable department are often different people. Ask upfront who invoices should be addressed to.

3. Invoice Number

Every invoice needs a unique identifier. A simple sequential numbering system works fine: INV-001, INV-002, INV-003.

Invoice numbers:

  • Make it easy to reference specific invoices in conversation (“re: INV-047”)
  • Help you organize your records
  • Are often required by clients for their accounting systems

If you have multiple clients, you can prefix with the client code: ACME-001, WIDGET-002. Whatever system you choose, be consistent.

4. Invoice Date and Due Date

Invoice date: The day you’re sending the invoice.

Due date: When payment is expected. Common terms:

  • Due on receipt — payment expected immediately upon delivery
  • Net 15 — payment due within 15 days
  • Net 30 — payment due within 30 days (most common for B2B)

Write the actual date, not just “Net 30.” “Payment due July 15, 2026” is clearer and harder to dispute than “Net 30” when there’s a disagreement about when the invoice was received.

5. Line Items

The meat of the invoice. For each service or deliverable, include:

  • Description of the work (be specific — “Website design” is better than “Services”)
  • Quantity or hours
  • Rate (hourly rate, per-unit price, or flat fee)
  • Line total (quantity × rate)

Examples of clear line items:

  • Logo design — 1 project — $1,200.00
  • Consulting — 8 hours @ $150/hr — $1,200.00
  • Photography — 4-hour shoot + editing — $800.00

Specificity prevents disputes. If a client questions a charge, a detailed description is your first line of defense.

6. Subtotal, Taxes, and Total

Below the line items:

  • Subtotal — sum of all line items
  • Tax (if applicable) — some freelancers are required to charge sales tax on services in their state. This varies significantly by location and service type; consult a CPA if you’re unsure.
  • Total due — the final number

Make the total prominent. Bold it, increase the font size — it shouldn’t require any calculation on the client’s end.

7. Payment Instructions

Tell the client exactly how to pay:

  • Bank transfer / ACH: provide your account and routing number, or use a service like Stripe or Wise
  • Check: provide the mailing address
  • Online payment: include a payment link (many invoicing tools generate these automatically)
  • Credit card: specify if you accept cards and how to submit

The easier you make it to pay, the faster you get paid. Remove every possible friction.

8. Late Payment Terms

State your late payment policy clearly on every invoice:

  • “A 1.5% monthly fee applies to balances unpaid after 30 days.”
  • “Invoices unpaid after 60 days are subject to a $50 late fee.”

You don’t have to enforce it every time — but having it on the invoice gives you standing to do so if needed and gently motivates timely payment.

9. Notes or Additional Information

Use the notes field for:

  • A thank-you (“Thank you for the opportunity to work together”)
  • Project references (“RE: Brand refresh project, per contract dated March 1, 2026”)
  • Payment terms reminder if complex
  • Your Tax ID or EIN, if the client needs it for their 1099 filing

Send your invoice the same day you complete the work, or on the agreed billing schedule. Delayed invoices signal disorganization and give clients a reason to delay payment.
